Demoting a Host in a Vision Dinner Event

If a host is no longer able to participate in your Vision Dinner event, you can easily remove their host status without deleting their registration. When you demote a host to a guest, you'll be able to choose what happens to the guests who were assigned to that host.

Note: The Demote to Guest option is only available for events created using the Vision Dinner event template.

How to Demote a Host

  1. Open your Vision Dinner event.

  2. Navigate to Manage Registrants.

  3. Locate the host you want to update.

  4. Select the ellipsis menu next to their name.

  5. Choose Demote to Guest.

After selecting Demote to Guest, you'll be prompted to choose what should happen to the host's guest group.

Option 1: Keep the Guest Group Together

Choose this option if you want the guests to remain assigned together. This workflow only removes the selected person's host status. The rest of the guest group stays intact, making it easy to promote another guest from that same group to become the new host.

This is the best choice when:

  • The group will still attend together.

  • Another person in the group has agreed to become the host.

  • You want to preserve the existing seating arrangement and guest assignments.

Option 2: Disband the Group / Move Guests Back to Unassigned

Choose this option if you no longer want the original guest group to stay together. Before confirming, you'll see a list of the guests who will be moved to the Unassigned group. Once confirmed, those guests are no longer associated with the former host and can be assigned to any other host in your event.

This is the best choice when:

  • The original host's guests will be distributed among other hosts.

  • You're reorganizing seating or guest assignments.

  • The group is no longer attending together.

What Happens to the Former Host?

After a host is demoted, they remain registered for the event as a regular guest. From there, you can either leave them as an attendee or cancel their registration if needed.

Here’s what changes once the demotion is complete:

  • Their host privileges are removed.

  • They will no longer be able to use the Host Manager Tool to invite additional guests.

  • Their name will no longer appear in the “Select Host Name” dropdown when managing registrations.

Existing Invitations

If the former host previously sent out invitations, those links will continue to work. However, any guest who registers through those invitations after the demotion:

  • Will still complete a valid registration.

  • Will not be associated with the original host’s group.

  • Will instead be placed in an unassigned state and can be manually assigned to a different host.

This ensures that active invitation links remain functional, while preventing new registrations from being tied to a host who is no longer managing guests.
