The Send Email tool is used to send emails to people who are registered for the event. You can send emails to specific individuals or specific categories of guests like Group Hosts, Cancelled Guests, and Pre-registered Guests. You can also schedule e-mails and save drafts.

Note: Emails from the Send Email tool can only be sent to people who have responded to your event.

Using the Send Email tool

  1. Choose Send Email from the Communications tab in the Event Tools Menu on the left.

  2. Click the Compose button.

    • Select the audience for your email from the drop-down menu:

      • Specific Guests from your event database.

      • Cancelled Guests whose plans changed after registering.

      • Pre-registered Guests (including hosts) who you expect to attend your event. This does not include Cancelled or Declined Guests. They can be emailed separately (see below).

      • Declined Guests who received an invitation but said that they could not come.

      • Group Hosts registered as a host for this event (regardless of if their name is on the group title or not).

      • Attended Guests - used AFTER your event and includes anyone marked as attended.

      • Not Attended Guests - used AFTER your event and includes anyone not marked as attended. This does not include Cancelled or Declined.

      • Event Sponsor who have generously underwritten your event.

  3. The Sender Name defaults to the user currently creating and sending the email.

  4. The Reply-To Email defaults to the email address of user currently creating and sending the email.

  5. Type in the Subject.

  6. Add the body of your email in the white box.

Selecting Specific Guests

  1. Choose Specific Registrants from the To: drop-down menu.

  2. Click on the second drop-down that appears to open the list of registrants.

  3. Click the checkbox next to the registrant(s) you would like to email.

Saving a Draft

If you click the Save and Close link, a draft will be saved in Saved Drafts in Send Email until you send the email.

Saved drafts will appear under Send Email > Saved Drafts. You can click the chevron [v] of any saved draft to continuing editing/sending the draft or to delete it if you no longer need it.

Once you have sent the email, the draft will no longer appear in this list.
